What actually happens when AI enters a transport order into a TMS

Reading a route is only the beginning. A reliable process handles units, dates, cargo requirements and exceptions.

01 / Define the data contract

Specify required fields: pickup and delivery locations, dates, weight, dimensions, vehicle type and customer identifier. Missing information must not be replaced with a guess.

02 / Check consistency

Validate formats, units and date order. Compare the data with customer records. Special requirements and unusual rates should go to the responsible person.

03 / Write and verify

The integration must confirm the TMS accepted the order. Record the identifier, outcome and any error. Retries should be safe and failures visible to the team.

04 / Close the document loop

Order status and POD/CMR completeness can trigger next steps. Agree the source of truth and customer communication rules before enabling automatic messages.
